Job Description

Summary:

This Construction Administrative Assistant is a long-term project until the end of September 2026. It is a highly interactive and responsible for the daily management of the administrative functions and specified accounting functions at the construction job site, such as gathering and entering timecards, entering A/P and purchase orders.

  • Hours: Monday to Friday, 7:00am-3:30pm
  • Pay: $25 per hour, based on experience

Responsibilities:

  • Communication with office and field job site personnel
  • Complete and route documents to internal and external customers
  • Proper organization of job documents and other information
  • Organization of job plans and other documentation
  • Maintain basic safety records required for the project
  • Assist with creation of labels and signage for construction projects
  • Enter and submit purchase orders and receive and process invoices
  • Resolve issues with disputed purchase orders and close purchase orders when completed
  • Collect, review, enter and review weekly payroll time entry for missing information
  • Assist with any payroll related reports required to be submitted on the project
  • Assist in the preparation of monthly invoices and assemble the supporting documentation

Qualifications:

  • Knowledge of Office 365 (Outlook, Word, Excel)
  • Excellent interpersonal skills
  • Must be adaptable and self-reliant
  • Ability to commit through the duration of the assignment (end of September 2026)
  • Must have a valid driver license and reliable transportation as some travel may be required
