Job Summary: We are seeking a compassionate, highly organized and adaptable Full-Time Float Clinical Coordinator to support our team of surgeons and clinical coordinators. This role will provide coverage for clinical coordinators during scheduled time off and call-outs while also assisting with day-to-day administrative and patient coordination tasks when coverage is not needed. The position offers a hybrid work model, allowing for remote work at times.

Key Responsibilities:

  • Provide coverage for clinical coordinators during scheduled absences and call-outs.
  • Assist with patient scheduling, including appointments, follow-ups, and surgical procedures.
  • Serve as a primary point of contact for patient inquiries via phone and portal messages.
  • Coordinate pre-surgical requirements, including obtaining authorizations, communicating pre-operative instructions, and ensuring all necessary documentation is completed.
  • Work closely with physicians, advanced practice providers, and the broader clinical team to facilitate seamless patient care.
  • Maintain accurate and up-to-date records in the electronic medical record (Epic) system.
  • Support clinical coordinators by handling overflow administrative tasks, patient communications, and scheduling needs.
  • Manage and complete patient disability and FMLA forms for the assigned surgical team's patients.
  • Collaborate with other departments to ensure efficient workflow and exceptional patient experience.
  • Assist in problem-solving and workflow improvements within the clinical coordination team.
  • Maintain patient confidentiality in compliance with HIPAA guidelines.

Qualifications:

  • Associates Degree required. Bachelors Degree preferred.
  • Required:
  • Previous experience in a medical office, preferably in surgical or specialty practice.
  • Strong organizational skills and attention to detail.
  • Ability to multitask in a fast-paced environment.
  • Excellent communication and interpersonal skills.
  • Proficiency with electronic medical records (EMR) and scheduling systems.
  • Ability to work both independently and collaboratively.
  • High level of professionalism and discretion in handling confidential patient information.
  • A compassionate and professional demeanor with a commitment to patient care.
  • Preferred:
  • Experience in neurosurgery or a related specialty.
  • Familiarity with insurance authorizations, surgical scheduling, and disability/FMLA paperwork.
  • Prior experience in neurosurgery is a strong advantage.
  • Prior experience with Epic.

Work Environment & Schedule:

  • Full-time position with a hybrid work model, including both in-office and remote work opportunities.
  • Must have flexibility to cover absences on short notice when needed.
